Dear JACK colleagues,

As you are aware and as outlined in the Afghanistan Humanitarian Fund (AHF)
Operational Manual, the Afghanistan Humanitarian Financing unit (HFU) of
OCHA conducts the financial spot checks to AHF implementing partner to
assess the soundness of internal controls and the accuracy of financial
records provided by the partner. On-site financial spot checks by the HFU is
conducted on the basis of AHF Operational Modalities and at the discretion
of the AHF Head of Unit. It is very important to keep in view that spot
check is not an audit.

In this regard, we are planning for a financial spot check of the project
"AFG-21/3481/SA1/H/NGO/21041" during next week. To facilitate the process,
we would like to request you to send via email the full list of transactions
in excel through an email by cob tomorrow, 09 May 2022 and documents listed
below by cob Tuesday, 10 May 2022.

- Bank signatories

- List of authorized signatories and their authorization level

- Bank reconciliations records

- Bank Statement showing the installment(s) received from the AHF

- Financial, administrative, asset management and procurement manuals

- Latest version of your shared cost allocation table

- Project staff list under each project

- Organization chart (Kabul office and field offices)

- Assets list of this project, if any.

Upon receiving the list of transactions, we may select all or few
transactions and send the list back to you and request the supporting
documents to be ready for our discussion/review.
